Head, Global Workplace Services & Operational Analytics

Address: 130 King Street West, Flr 16 Job Family Group: Strategy & Change Please note: This role is posted in the Toronto Canada and Chicago USA market for interested parties to apply Plans, builds, operates, monitors, maintains, and repairs electrical, mechanical, and other integrated infrastructure equipment and building systems for BMO Financial Group’s worldwide owned and leased facilities to maintain maximum availability, reliability, and efficiency.

Acts as the main point of contact to provide emergency and operational support and resolve complex issues for facilities infrastructure globally.

Lead the transition to a data driven GREO organization, advises and mentors stakeholders on how to harness the power of data, analytics and AI (predictive analysis) to increase operational efficiency, performance and strategic insights.

Key Accountabilities: Leads an internal and external team (contracted suppliers, currently JLL & BGIS) of facility professionals who operate, maintain and monitor BMO’s global real estate portfolio (includes office, retail, and special use environments).

Has accountability for oversight and operational governance over third-party suppliers.

Provides input into annual financial investment plans for facility operating expenses and capital expenditures.

Partners with BMO Engineering to set the standards and guidance for the reliable operation of integrated facility infrastructure support systems (e.g., electrical, and mechanical systems, uninterrupted power supply (UPS), emergency power generators, hydro power, HVAC (heating, ventilation, and air conditioning), fire detection and suppression, electrical power monitoring system) and building automation systems to fulfil mandated uptime commitment.

Establishes programs associated with inspection of grounds, facilities, and infrastructure support systems, and their performance to determine necessity of repairs or maintenance, and conducts scheduled and unscheduled preventative maintenance.

Identifies and investigates issues to determine causes, perform minor repairs, document work, and engage internal resources or external service providers and resolve issues or escalate to the manager; provides communication to management and key stakeholders.

Leads a large team of facility professionals who respond to building occupant requests and concerns that resolve facility issues.

Operates at a group/enterprise-wide level and serves as a senior specialist resource across BMO.

Leads the execution of operational programs; assesses and adapts as needed to ensure quality of execution.

Provides input into annual financial investment plans for facility operating expenses and capital expenditures.

Manages the relationship between BMO stakeholders and third-party suppliers / landlords.

Leads Corporate Real Estate (CRE) incident response framework and resolution of escalated issues.

Ensures physical and information security standards and protocols are adhered to.

Develops and maintain business continuity, disaster recovery & emergency plans.

Ensures designs and operations in in compliance with local/regional/national laws and regulatory requirements.

Leads the transition to a data-driven Global Real Estate Operations (GREO) organization, advises multiple groups / stakeholders to harness the power of data, analytics, and AI (predictive analysis) to increase operational efficiency, performance, and strategic insights.

Identifies quick wins and shapes multi-year data strategy & operational analytics roadmap for GREO.

Creates consumable information for broader enterprise utility.

Creates statistical modelling and real-time measurement / forecasting across the following performance areas: services, assets, and projects.

Develops data strategies for enriching evidence-based decision making and recommends measures to improve operational effectiveness.

Acts as a strategic advisor to CRE Operating Committee (OC) with respect to risks and opportunities affecting business operations.

Partners with CRE Data & Analytics to develop a Data Hub solution (build vs.

buy), manage data governance, privacy & security.

Identifies near-term pilots to prove value, generates business cases and tracks ongoing business benefits realized.

Develops data driven insights and tests scenarios and theories with internal feedback and external research.

Co-leads (along with CRE Data & Analytics) the development of solutions across key enablers including but not limited to Robotics Process Automation (RPA), Advanced Analytics & Machine Learning, Data Quality/Governance, Digital, and Technology for areas such as expense analytics, end-user analytics, performance management, supplier performance and asset lifecycle planning.

Identifies opportunities to apply advanced data mining and wrangling techniques, machine learning, graph, optimization, automation, and other techniques.

Acts as a trusted advisor to senior leaders for making business decisions and implementing strategic initiatives.

Develops an expert understanding of business/group challenges.

Leads risk assessments by formulating test scenarios, analyzing results, and identifying potential weaknesses.

Networks with industry contacts to gather competitive insights and best practices.

Recommends measures to improve organizational effectiveness.

May consult to or serve on various committees and task forces.

Acts as the prime contact for internal/external stakeholder relationships, which may include regulators.

Breaks down strategic problems, and analyses data and information to provide insights and recommendations.

Defines business requirements for analytics and reporting to ensure data insights inform business decision making.

Develops and applies the framework for databases; oversees database management in adherence with data governance standards.

Leads change management programs of varying scope and type, including readiness assessments, planning, stakeholder management, execution, evaluation, and sustainment of initiatives.

Collaborates across BMO to develop communications strategies and ensure consistency of messaging, to positively influence or change behaviour.

Experience in managing a portfolio of facility assets within large corporate / financial services environments.

Expertise in planning and design of retail, office and high availability computer facilities, field construction methods, construction cost estimation, and fire prevention; experience providing emergency response support.

Expert understanding of environmental requirements of computer hardware, data communications, business process equipment, and overall building systems in continuous production environments and associated risks and impacts.

Experience in road mapping, planning and deploying business / operational intelligence & analytics capabilities within an organization to improve the efficiency of asset / service performance and improve total life-cycle planning.

Knowledge of construction codes, by-laws, facilities management, operations, health and safety, and industry standards pertaining to facilities planning, design and construction / installation of equipment.

Experience with financial budgeting and processes, operations, and construction contract policies, procedures, and audit requirements to manage and control project expenditures.

In-depth knowledge of process and/or project management tools and methodologies.

Exposure to working with and managing third party engineering, facilities and software service providers.

Knowledge of risk management regulatory requirements, policies, and practices relevant to financial institutions.

Proficiency with business intelligence tools, and the Microsoft Office suite.
